Terms & Conditions
These terms and conditions outline the rules and regulations for your stay at Megbɔ Aƒe Residence. Additional general house rules apply. Effective Date: January 4, 2026.
African Diaspora Resource Centre Ltd (ADRC) provides authentic homestay experiences and transitional support services in Ghana through Megbɔ Aƒe Residence. ADRC’s head office is located at: 8 Nii Akuboye St, Adjiringanor, Accra – Ghana.
1. Booking & Payments
a) Payment Policy: A 50% deposit is required at the time of booking to confirm your reservation. The remaining balance must be received no later than 7 days prior to the date of check-in to secure your booking and to allow time for preparation of services included in your transitional stay. Failure to complete payment within this period may result in cancellation of the reservation and forfeiture of any payments made.
b) Currency: Room rates listed on our website are priced in USD to better accommodate and provide clarity for our international clients. All payments are processed in Ghana Cedis (GHS). Upon booking, ADRC will issue an invoice reflecting the current USD to GHS bank selling rate as published by Stanbic Bank Ghana. Guests are required to remit payment in GHS based on the invoiced rate. Rate conversions provided are final for the invoiced period and must be paid in full by the stated payment deadline. For local residents in Ghana, room rates are priced in GHS and may be obtained and booked directly through a walk-in visit to our office.
2. Cancellation, Reschedule & Extension Policy
a) Cancellation Policy: Cancellations made at least 14 days before the date of check-in will receive a full refund. Cancellations made between 8–13 days before date of check-in will receive a 50% refund. Cancellations made within 7 days of check-in will forfeit all monies paid.
b) Reschedule Policy: At management’s discretion and subject to availability, guests may request a one-time reschedule by providing at least 7 days’ notice prior to check-in. The rescheduled stay must commence within 90 days of the original booking date and must be for the same length of stay as originally booked. Upon rescheduling, the applicable room rate for the new dates will apply. Rates are not reduced as a result of rescheduling and may be higher if the new dates fall within a different or peak rate period. Rescheduled bookings are non-refundable and not eligible for further date changes.
c) Extension Policy: Guests may request to extend their stay subject to room availability and management approval. Extension requests should be made as early as possible. If approved, additional nights will be charged at the current applicable rate, and payment must be confirmed in advance to secure the extension.
3. Check-in & Check-out
a) Check-in time is from 2:00 PM, and check-out time is by 11:00 AM. Early check-in or late check-out are subject to availability and may incur additional fees.
b) Guests must present valid identification upon check-in.
c) Guests who fail to check out by 11:00 AM on the departure date without prior approval will be charged an overstay fee equivalent to 50% of the nightly rate for the first 4 hours beyond check-out time.
d) Guests staying beyond 4 hours will be charged a full additional night’s stay.
e) If overstay continues beyond 24 hours without communication, a daily overstay surcharge of 200.00 Ghana Cedis will be assessed in addition to the normal nightly rate as originally booked until checkout is completed.
f) If a guest refuses to check out, management reserves the right to remove belongings and deny further accommodation.
g) Overstays are not guaranteed and will be accommodated where possible if there are no bookings immediately following the current stay.
4. Accommodation & House Rules
a) Rooms are assigned based on availability, and specific requests will be accommodated when possible.
b) Guests must maintain cleanliness and respect common spaces.
c) Smoking, illegal substances, and disruptive behavior are strictly prohibited.
d) Visitors are allowed between 9:00 AM and 9:00 PM upon presenting a valid government issued ID and signing Guest Check-in form with security. Overnight guests are not permitted.
e) No pets are permitted without written approval from management.
f) Housekeeping will be provided for the exterior compound and interior common areas. Room cleaning is performed on a bi-weekly basis. Daily cleaning may be arranged at an additional cost (see office).
g) Key Replacement Fee: If a guest loses or fails to return their room key, a lock replacement fee in the amount of 400.00 Ghana Cedis will be charged.
5. Noise & Disturbance Policy:
a) Guests must respect the peace and privacy of other residents.
b) Loud music, disruptive behavior, or excessive noise is not permitted, especially during quiet hours, 10:00 PM – 7:00 AM.
c) Repeated violations may result in termination of stay without refund.
6. Services Included in Long-Term Stays (29+ days). The services listed below are included as part of the transitional housing experience for guests staying 29 days or more. These services are provided solely during the active reservation period and are intended to support guests who meet the required qualifications for each service.
I. Please note the following important terms:
a. Eligibility: Certain services require the guest to meet Ghanaian regulatory or institutional requirements. If a guest does not meet the qualifications (e.g., documentation requirements for Ghana bank account), the service will not be completed.
b. No Refunds or Credits: Transitional services are complimentary additions offered during your stay. Failure to utilize, complete, or qualify for any service does not result in a refund or credit against accommodation fees.
c. Service Usage Window: All included services must be arranged, scheduled, and completed within the guest’s reservation term. No service will be provided before check-in or after check-out.
II. Guest Responsibilities:
a. Guests must proactively communicate with the on-site support person to arrange services.
b. Guests must be present, punctual, and prepared with required documents.
c. Failure to attend scheduled appointments may result in the service being forfeited.
III. The following services are included for up to two (2) adults per booked room:
a) Airport pickup from Kotoka International Airport. (Late-night pickups between 10:00 PM and 7:00 AM are based upon availability and incur a surcharge of 200.00 Ghana Cedis per pickup.)
b) Currency exchange assistance
c) SIM card registration
d) Local bank account establishment
e) Ghana Card registration
f) Africa Plan® Relocation Consultation
g) Cultural Orientation Training
h) Shopping experience at a local market or grocery store
i) Assistance negotiating and purchasing household goods, vehicle, etc*
j) Introduction to nearby shops, restaurants, and healthcare facilities
k) Resource guide for setting up utility services in Ghana
l) Dedicated support person for personalized assistance
m) 1-year Diaspora Returns membership to The African Diaspora Group
*Transportation costs are not typical and shall be borne by the client
7. Short-Stay Services Policy (28 Days or Less)
For guests staying 28 days or less, accommodation at Megbɔ Aƒe Residence is provided on a room-only basis. The nightly or weekly rate includes access to the property and standard amenities but does not include transitional support services. All additional services are available on an à la carte basis as desired, subject to booking and staff availability.
II. Included in Short-Stay Bookings:
a) Private room accommodation
b) Use of shared / common areas
c) Bi-weekly room cleaning service
d) Access to kitchen & laundry facilities
II. Consecutive short-term bookings, extensions, or separately booked stays that cumulatively total 29 days or more shall not be deemed a Transitional Housing stay. Transitional Housing stays (29+ days) must be secured as a single reservation at the time of booking to qualify.
All Transitional Housing services, benefits, and inclusions are rendered exclusively upon upfront booking of a qualifying stay and shall not apply retroactively to extended or segmented bookings.
8. Additional services for Short & Long-Term Stays are available at an extra cost, including:
a) Local language lessons
b) Transportation services
c) Culture & heritage tours
d) School search assistance
e) Neighborhood tours
f) Visa extensions
g) Ghana Driver’s license
h) Residence permit processing
i) Business registration services
9. Security Deposit & Liability
a) A refundable security deposit of $250.00 USD / 3,000.00 Ghana Cedis is required at or prior to check-in.
b) The security deposit is refundable at check-out provided there are no damages, violations, or outstanding fees (including overstay fees, key replacement fees, or additional service charges).
c) Any damage to property caused by a guest will be deducted from the security deposit. If damages exceed the deposit amount, the guest will be responsible for the additional cost.
d) African Diaspora Resource Centre is not responsible for loss or damage to personal belongings. Guests are advised to secure valuables.
e) Security measures are in place, but guests must exercise personal caution at all times.
I. Payment, Settlement & Refund Currency
a) Security Deposit Payment vs. Settlement Currency: Guests may pay the security deposit in either USD or GHS, but the settlement currency depends on how the payment is made:
· If Foreign Currency (USD, GBP, CAD, etc.) is paid into a GHS bank account, the payment will be settled in GHS at the applicable bank rate at the time of transaction. – Recommended
· If USD is paid into our USD bank account, the payment is settled in USD. – Not Recommended
· If payment is made directly in GHS, it is fully settled in GHS. – Recommended
b) Bank of Ghana Transfer Charge (Electronic USD Payments)
· If the deposit is paid electronically into our USD account (via wire transfer, bank transfer), a 5% transfer charge applies per Bank of Ghana regulations.
· This fee is charged at the time of payment and is non-refundable. Thus we advise against electronic transfers made into our USD account.
c) USD Cash Payments (No Transfer Charge)
· If USD is deposited in cash into our official USD bank account, no transfer charge applies.
· Refunds for USD cash payments will be issued in USD cash, subject to availability.
II. Refund Currency Rules: Refunds will always be issued in the settlement currency:
a) If the deposit was settled in USD, the refund will be issued in USD.
b) If the deposit was settled in GHS, the refund will be issued in GHS, regardless of the original currency tendered.
c) Exchange rate fluctuations do not affect the refund amount once settlement is made.
III. Refund Method & Timeline
a) Security deposit refunds are issued within 1–3 business days after checkout and room inspection.
b) Refund methods include:
o Cash (USD or GHS depending on settlement currency)
o Bank transfer (local GHS transfers only)
o Mobile money (GHS only)
c) Any deductions will be itemized and provided to the guest.
IV. Non-Refundable Circumstances: Deductions may apply in cases including, but not limited to:
a) Damage to furniture, appliances, or property
b) Lost or unreturned keys (replacement fee applies)
c) Excessive cleaning beyond normal use
d) Permanent stains in linens (will release to guest and replace)
e) Unpaid service fees, penalties, or overstay charges
f) Breach of house rules resulting in financial cost
10. Termination of Stay
a) Management reserves the right to terminate a guest’s stay without refund if there is a violation of these terms and conditions.
b) Guests must vacate the premises within 24 hours of notice if asked to leave due to misconduct.
c) Early Termination by Guest: If a guest voluntarily chooses to leave before their scheduled departure date, no refund will be provided for any unused nights.
11. Dispute Resolution: Any disputes shall be resolved amicably. If unresolved, the matter will be referred to local arbitration or legal authorities in Ghana.
By booking or commencing a stay at Megbɔ Aƒe Residence, guests agree to abide by these terms and conditions.
